Hackathon planning for companies
24–48 hours of work on prototypes, ending with a presentation to the judging panel. Delivered on site in Warsaw.

Hackathon formats
Four formats to choose from. They differ in participants, goal and what remains after the event.
| Format | Who it is for | Goal | Outputs and event features |
|---|---|---|---|
| Internal hackathon | company employees, often from different departments | new product features, process improvements, team bonding | working prototypes and a list of ideas to implement |
| Recruitment hackathon | candidates: developers, students, data and AI specialists | employer branding and testing skills in practice | a candidate shortlist and communication materials |
| Partner hackathon | developers, clients, technology partners | solutions built on your API or product, a community around the brand | prototypes built on your technology and contact details for the teams |
| Hybrid and online hackathon | distributed teams across several offices or countries | the same goal without the whole team travelling | prototypes, streamed presentations and an online judging panel |
What we are responsible for

What a hackathon costs
We set the cost based on the scope of work and the brief. We do not give a single price for all formats.
What affects the price
- number of participants
- hackathon length and overnight work
- the venue and its availability around the clock
- catering: number of meals and dietary requirements
- technical set-up: stage, screens, live streaming
- a submission platform, if needed
What we quote separately
- the prize pool for participants
- a submission platform subscription, if needed
Once we receive the brief, we agree when the cost estimate will be ready and what the quote will cover. Prizes and the platform are costed separately.

How much does it cost to organise a hackathon?
The price depends on the number of participants, duration, overnight work, the venue, catering and technical set-up. Once we receive the brief, we confirm what the cost estimate will cover and when it will be ready.
How long does preparation take?
We set the preparation schedule after the brief. It depends on the format, venue availability, the scope of promotion and how participants are recruited.
Can participants work overnight?
Yes. We choose venues available around the clock and provide overnight catering, a quiet room to rest and a coordinator on site all night. If you prefer to avoid overnight work, we plan 24 hours with a break for sleep.
How many people can take part?
We match the number of participants to the space, the technical facilities and the number of mentors. Some teams can also take part online.
Who prepares the challenges?
Your company prepares the challenges: you know the problems you want to solve. We help you frame them so that teams can show a result within 24–48 hours.
Who owns the rights to the prototypes?
The rights to the prototypes and the rules for using the code must be defined before the event in the event rules and the relevant agreements. The documents are approved by the client's lawyer.
Will you prepare the event rules and handle prize accounting?
We prepare draft event rules and organise the prize-giving. Your accounting department confirms the tax treatment of the prizes; we provide the complete winner information needed for accounting.
How do you process participants' data?
Before registration opens, we agree the roles of the parties, the scope of data collected, access and the retention period. The documents and the legal bases for processing are approved by the person responsible for data protection on the organiser's side.
How do you protect company data during an internal hackathon?
Teams work with test data in an environment prepared by your IT department. On request, we sign an NDA before work starts; it also covers our subcontractors.
Do you run online and hybrid hackathons?
Yes. In the hybrid version, some teams work in the venue and others remotely; we provide streaming of the presentations and online participation for the judging panel. In the online version, we are responsible for the script, communication with participants and stream production.
